Privacy Policy

1. About ZTECHAI

ZTECHAI, LLC (“ZTECHAI”, “we”, “our”, or “us”) is a U.S.-based technology company that builds AI Voice Agents for businesses. Our solutions help companies automate customer calls, handle appointment booking, and reliably respond to inbound customer inquiries to improve service quality and reduce missed opportunities.

2. Scope and Purpose

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you. It applies to all ZTECHAI services, including our AI Voice Agents and client dashboard.

3. Information We Collect

We collect personal and business information in three main ways:

  • Information you provide: Business name, representative contact details, operating hours, service descriptions, terms & conditions, sales scripts, privacy/security policies, and any other materials you provide to train and configure the AI Voice Agent.
  • Integration data: With your authorization we may access or integrate with your scheduling, CRM, or booking systems (e.g., API tokens). Access is used only to perform tasks you authorize, such as booking appointments or updating records.
  • Automatically collected data: Call metadata (time, duration, caller ID), analytics, device/browser metadata, cookies, and logs.

4. How We Use Information

  • To configure and train AI Voice Agents according to client requirements.
  • To operate and improve the services, including providing dashboards with call logs, recordings, and analytics.
  • To integrate with client systems and perform authorized automation tasks.
  • To communicate account-related updates, security notices, and billing information.
  • To comply with legal obligations and prevent fraud or abuse.

5. Sharing and Disclosure

We only share information in limited circumstances:

  • Service providers: Trusted partners for hosting, payments, telephony carriers, and analytics who are contractually bound to protect data.
  • Business partners: With minimal or anonymized data as necessary to provide additional integrations or services you request.
  • Legal requests: When required by law, or to enforce our terms, protect rights, or prevent fraud.
  • Business transfers: In connection with a merger or sale — with continued privacy safeguards.

We do not sell personal information.

6. Data Retention

We retain data only as long as necessary to provide services, meet legal obligations, or as otherwise agreed in client contracts. Clients may specify retention periods for call recordings and training data in their account settings; otherwise, ZTECHAI will retain data for a reasonable default period.

7. Security

We implement administrative, technical, and organizational measures to protect data. While we strive to protect Data, no system is completely secure. We will follow applicable breach-notification laws and notify affected parties when required.

8. Client and End-User Rights
